License and Contract Management
CapaOne is modular — each product (Application Manager, Security Monitor, Mobile Manager, and so on) is licensed separately. Your organization’s contracts and their expiration dates are shown on your Profile page, which you open from the home page or the user menu.
Viewing your licenses
Section titled “Viewing your licenses”Open your profile. Below your account details, there’s a card for each product your organization has a contract for. Each card shows:
- Product — the CapaOne product or other CapaSystems product, for example CapaOne Application Manager, CapaOne Security Monitor, or CapaOne Mobile Manager.
- Status — Active, or Expired for a contract that is no longer active.
- Valid until — the contract’s end date.
- Licenses — the number of licenses included. The card doesn’t show this line when the contract has no license count.

Use Find a product to search the cards by product name.
The license count is the number of devices the product covers. For example, 100 licenses for Application Manager covers up to 100 Windows endpoints.
Some entitlements, such as Service Desk access, CapaForum, and Knowledge Base, are included without a license count. They are access entitlements rather than per-device licenses.
What happens when a license expires
Section titled “What happens when a license expires”CapaOne shows a product’s features only while the organization has an active contract for it. When a contract expires, its card shows Expired, and CapaOne hides the product’s menu items or shows a short introduction to the product instead. See Roles and Product Access.
Monitor expiration dates regularly — especially if you have licenses with annual renewals — to avoid disruption.
Renewing or expanding licenses
Section titled “Renewing or expanding licenses”License renewals and purchases are handled through CapaSystems. Contact your CapaSystems account manager or reach out through the Help Center to renew expiring licenses or to add more licenses as your fleet grows.
After a renewal or license change, the updated contract details appear on your Profile page.
Good to know
Section titled “Good to know”- Each organization has its own contracts — if you manage multiple organizations in CapaOne, each has separate contracts and license counts. A sub-organization uses the products that its parent organization turns on for it.
- License consumption is per enrolled endpoint — a device using Application Manager consumes one Application Manager license. If you exceed the license count, contact CapaSystems. Managers can see the usage per organization under Users & Organization → Billing Overview.
- Your role determines access — every user sees the organization’s contracts on their own Profile page. Only users with the Manager role can manage contracts and see billing under Users & Organization. See Create organizations and manage users, billing, licenses & contracts.
